Retail Businesses and Restaurants
This is a unique way to keep people updated on your events and specials. It is important to not do more than one at a time. You do not want them to get 5 notifications at once because you posted Monday, Tuesday, Wednesday, Thursday, Friday, all at once.
You should use this for a daily specials or as another way to promote special events. Remember, you can also share this via Facebook, Twitter, and email for each and every event as you add them as well.
All of the people who follow your calendar, will get notified instantly via their preferred means of communication (text, mobile, email, etc) the moment you save something to your calendar so it gives you another avenue to promote and ensure it does not get blocked by SPAM filters and they can get it how they want, when they want.
Set up your retail location or restaurant as an organization in the system. Please make sure you have the proper permission to be the administrator for your facility or that you invite that person to administrate this organization once you have created it. Be specific with name of your organization and/or geography( especially if you are a chain restaurant). You will want to have your managers also be administrators of your calendar(s) so they can add events/specials.
Set up the calendar(s) for each type of thing you want people to follow. In most cases, we think you will have one calendar (ie “daily specials” – some of you might have one for daily specials and one for special events). You can also manage several locations from this by creating a calendar for each location. You can then invite people to see this calendar and follow it (or follow them if more than one). (This can be done directly through Schedule Utopia via email by sharing to Facebook or Twitter.)
If the person you invited already has an account, they can just login and follow any of the calendars that are public that you created or any private ones that you invite them to. If they don’t have an account already, they will need to set up an account before they can follow a calendar (this goes for managing one as well). Each person can then begin adding their own information, events and activities to their calendar. Administrators can add things to the calendar(s) that they are asked to administrate, The information they add would be viewable to all followers of those calendars,
It would be a good idea to embed any public calendars right on to your website for viewing. This is easily done, and most webmasters or content systems will allow you to copy and paste the code you need. That way this is the only set of calendars you really need to have. The organization calendar will compile all calendars onto the overview in the system so you can view it holistically in the system.
It’s also a good idea to consider a “news” type of calendar for activities that apply to everyone – like something important that needs immediate attention (like a cancellation) or any “news” that you want notifications sent out immediately. If someone follows this “news” calendar, they will automatically get notified via their preferred method when it gets revised. We would start by just having one calendar for specials and see how it goes from there.
